Call Back Program News: New process for reporting constituents with additional needs
History: As a Call Back volunteer, you have a tremendous impact on the quality of life of cancer patients and their caregivers. You are resources to connect them with additional services and support. As a Society, we consistently look for ways to streamline program processes both to support you as volunteers as well as to expedite service delivery for patients and caregivers.
Program Enhancement: As of September 2011, we will be transitioning to a new process for reporting to the Network the constituents with additional needs for information and services, as well as those who have no additional needs. Note that these changes were suggested by volunteers and staff in local offices, and are already being implemented in many areas.
- Constituents with additional needs: The ACS/Internal Intake form will now be used for constituents with additional needs. This form has been in use by your local offices for several years. Click here for the ACS Internal Intake Form.
- Constituents with NO additional needs: Only page 1 of the Call Back Scripting Guide should be pouched by staff to the Network for those constituents with no additional needs. The box at the top right of page 1 now contains the crucial data entry information contained elsewhere in the guide (HIPAA suppression removal and the constituent's email) that should be completed before sending.
Given that the Call Back Scripting Guide will now be used as only a guide and not to capture extensive information (other than page 1), the formatting has been condensed.
Your Questions Answered:
- What does this mean for me? We ask that all Call Back volunteers begin using the new, condensed, Call Back Scripting Guide as well as the ACS Internal Intake form (only for constituents with additional needs) as of September 2011. These forms can all be found on the Call Back volunteer page of this website and will also be made available through your local office.
- Why are you making this change? We have received much feedback that there is too much paperwork associated with the Call Back program. This is a minor change to simplify program processes and reduce the amount of associated paperwork.
- Can I start using these forms now or do I have to wait until September? The ACS Internal Intake form has been used by Society offices for the past several years, and many offices are already using it for Call Back program purposes. There is no need to wait until September.
- Are we going to have special trainings to roll-out this change, like we did when we stopped using Call Back surveys? Since this is a relatively minor change, no special trainings are planned specifically to roll it out. However, it will be covered on trainings with new volunteers beginning with the Call Back I certification training on August 16th, and the information will also be included and discussed with existing volunteers on the next Call Back UPDATE training on October 25th from 10am-12pm.
